PDF & inbox automation
PDF & Inbox Automation
PDFs and email still get typed into the system by hand.
For agency and SMB founders whose ops still re-type invoices from PDFs and triage a shared inbox by hand. Done looks like: PDF lands → structured row in your DB or books → exception queue for the weird ones; email lands → categorized + draft reply → human hits send. The win is hours back inside the tools you already pay for — HubSpot, Postgres, Notion, Slack — not another document SaaS login.
Before → after
Invoice PDF
Before
PDF in email → download → re-type vendor, amount, due date, line items into sheets or books → chase mismatches when AP closes the month.
After
PDF hits the pipeline → fields land as a structured row in your DB/books → low-confidence items go to a review queue → Slack notes what needs a human eye.
Shared inbox
Before
Everyone skims the same inbox → misses a vendor thread → drafts from scratch → forgets to log it in HubSpot.
After
Thread categorized → draft reply ready → HubSpot/Slack updated → you edit and send. Noise filtered; nothing silent-sent.
Invoices and messy PDFs → structured rows
Vendor PDFs, scanned receipts, and “almost identical” invoice layouts still end up as manual data entry. We wire extraction into the stack you already use — Postgres, your books, HubSpot custom objects, Notion databases — not a separate document product you have to live in.
Humans stay in the loop for low-confidence fields and edge layouts. The goal is fewer keystrokes on the 80%, not a fantasy of zero review forever. Your AP person reviews exceptions; they stop re-typing every clean invoice from scratch.
Inbox triage → categorize + draft, human sends
Shared inboxes fill with sales, vendors, support, and noise. We categorize threads, draft replies in your voice, and route the rest to the right Slack channel or HubSpot task. A human still sends — we are not auto-mailing your clients unsupervised.
This is not “turn on Gmail smart replies and hope.” It is extraction and triage wired to your CRM, DB, and Slack so the work lands where the team already operates.
What we are not building
We are not a document-SaaS migration, not a legal-contract review product, and not a generic inbox AI wrapper. If your pain is contracts-as-a-product, that is a different company. If your pain is invoices and inbox grinding into HubSpot / Postgres / books, that is this page.
Extraction quality depends on your real samples. In the audit we run a handful of your PDFs and threads through a spike so you see expected hit rate before Supercharger or a custom build. No fake case studies — your documents are the proof.
What we build and what this is not
What we build
- PDF/invoice extraction pipelines that write structured fields into your DB or accounting tools
- Confidence thresholds and an exception queue for messy scans
- Inbox categorization + draft replies that sync to HubSpot, Notion, or Slack
- Claude Skills for operators who still want to drive edge cases from chat
- MCP tools where the assistant should pull an invoice row or thread on demand
What this is not
- Not a document-SaaS product you migrate into
- Not unsupervised auto-send email to clients
- Not a legal contract review / e-signature product
- Not inbox AI with no connection to your CRM or books
FAQ
Will it auto-send email for us?
No. Default is categorize + draft; a human sends. If you later want limited auto-send for a narrow template, that is an explicit decision — not the default.
Our invoices all look different. Still worth it?
Usually yes for the common vendors, with a review queue for the weird ones. The audit samples your real PDFs and tells you the expected automation rate before you build.
Do we have to switch accounting tools?
No. We write into what you already use — Postgres, QuickBooks/Xero-style exports or APIs, HubSpot, Notion — rather than parking you in a separate document product.
Is this a contract-analysis product?
No. We do not start a legal-contract product here. Invoices, receipts, and operational PDFs plus inbox triage are the scope.
How does this relate to Supercharger?
PDF and inbox jobs often ship as Supercharger automations after the $499 audit ranks them. Deeper custom platforms land under Custom AI OS.
Can Claude pull an invoice we already extracted?
Yes — when we add MCP tools for it. Ask for the vendor row or thread status from chat without opening five tabs.
